Quick Start Guide

Get your first client portal up and running in under 5 minutes. This guide will walk you through creating your first client, uploading files, and sharing access.

Before you begin: Make sure you have already installed and activated Filevue and created a portal page with the [filevue_client_files] shortcode.

Step 1: Create Your First Client

  1. Navigate to Filevue → Clients in your WordPress admin
  2. Click the Add New button at the top
  3. Fill in the client information:
    • Client Name: Your client's name (e.g., "John Smith" or "Acme Corp")
    • Client ID: A unique identifier (e.g., "CLI-001" or "acme"). This is what they'll use to log in.
    • Password: A secure password. Use letters, numbers, spaces, dots, hyphens, or underscores.
    • Email (optional): Client's email address for notifications
    • Description (optional): Internal notes about this client
  4. Click Save Client
Success! Your first client has been created. You'll see them in the clients list now.

Step 2: Create Folders

Organize your files into folders for better structure:

  1. Click on the client name to open the Edit Client page
  2. Scroll down to the Folder Management section
  3. In the "Folder Name" field, enter a name (e.g., "Invoices", "Contracts", "Reports")
  4. Optionally choose an icon and color for the folder
  5. Click Add Folder
  6. Repeat to create additional folders
Pro Tip: You can drag and drop the 6-dot handle next to each folder to reorder them. The order will be reflected in the client portal.

Step 3: Upload Files

Now let's add some files to your folders:

  1. Still on the Edit Client page, scroll to File Upload
  2. Step 1 - Choose Folder: Select which folder to upload to
  3. Step 2 - Select Files: Click Choose Files and select one or more files
    • Supported formats: PDF, Word, Excel, images (PNG, JPG, GIF), ZIP, RAR, and more
  4. Step 3 - Upload: Click the Upload button

Your files will be uploaded and appear in the Files table below.

Step 4: Share Portal Access

There are three ways to share the portal with your client:

Option 1: Send Email (Recommended)

  1. Make sure you've configured SMTP at Filevue → SMTP Settings
  2. Go back to Filevue → Clients
  3. Find your client in the list
  4. Click the Email button (envelope icon)
  5. A branded email with credentials and portal link will be sent automatically

Option 2: Manual Share

Share the following information with your client:

  • Portal URL: https://yoursite.com/client-portal/ (or whatever you named the page)
  • Client ID: The ID you created (e.g., "CLI-001")
  • Password: The password you set

Option 3: Preview First

Want to test before sharing? Click the Portal button (eye icon) next to the client to preview their view.

Step 5: Your Client Logs In

When your client visits the portal URL, they will:

  1. See a login form
  2. Enter their Client ID and Password
  3. Click Login
  4. Access their files organized in the folders you created
  5. Download files or view PDFs/images directly in the browser
Congratulations! You've successfully set up your first client portal. 🎉
